Terms of service

Last updated 28 October 2026

1. Who this agreement is between, and how you accept it

These terms are an agreement between Greetfolk ("we", "us"), based in Davao City, Philippines, and the business that uses Greetfolk ("you"). They include our data processing agreement and our privacy policy.

You accept them when you accept your invitation to Greetfolk or first use the service, whichever comes first. That acceptance is an electronic signature and makes a binding contract under the Electronic Commerce Act of 2000 (Republic Act No. 8792). The person who accepts confirms that they may bind the business.

2. Words we use

  • Service: the Greetfolk software and everything we provide through it, as described in section 4.
  • Client: a person who books, chats or messages you through the service, for example a clinic's patient or a salon's customer.
  • Team: the people you give access to your account: owners, staff and providers.
  • Your content: the text, photos, prices, policies and other material you add to the service.
  • AI receptionist: the software described in section 8.

3. Who can use Greetfolk

You must be a business registered in the Philippines, or a professional licensed to practise there, and the person who opens the account must be at least 18. You must give true details about yourself and your business and keep them current. We may ask for proof and may refuse or close an account that doesn't meet these conditions.

4. The service, and early access

Greetfolk gives your business a website, online booking, a staff calendar, Today and Reports pages, and an AI receptionist on web chat and, when you connect your Facebook Page, Messenger, with hand-off to your staff.

Greetfolk is in early access. Features marked "Coming soon" on greetfolk.com or in the dashboard are not part of the service until they launch, and nothing here promises that they will. While in early access we may change, pause or withdraw a feature. We tell you before a change that removes something you rely on.

5. Accounts and two-factor authentication

  • The owner of a business decides who on the team has access, with which role, and is responsible for what the team does in Greetfolk.
  • Owners must use two-factor authentication for owner actions. Keep your sign-in details, recovery codes and devices to yourself, and tell us at once if you think an account has been misused.
  • Each account is for one person. Don't share sign-ins. Remove team members when they leave.
  • You are responsible for anything done through your team's accounts until you tell us about a misuse.

6. Plans, AI allowance, payment and taxes

  • Plans. The plans and their prices are on greetfolk.com. Plans are billed monthly in advance, in Philippine pesos, plus any taxes the law requires us to charge. Plans are flat subscriptions.
  • AI allowance. Each paid plan includes a monthly allowance for the AI receptionist's use, which we state in writing when you subscribe. A single day can use at most a quarter of the month's allowance. When the allowance runs out, the AI stops answering until it resets and replies instead that it can't answer right now and that the client should call you; your staff can still reply. Top-ups are coming soon and are not part of the service until they launch.
  • Founding-business offers are agreed with you in writing and prevail over the prices on greetfolk.com for as long as they say.
  • Cancelling. You can cancel at any time. Your plan then ends at the end of the month you paid for. We don't refund part months unless the law requires it.
  • Price changes. We tell you at least 30 days before a price changes. If you don't accept the new price, you may cancel before it takes effect.
  • Non-payment. If a payment fails, we tell you and give you 7 days to pay before we suspend the service under section 17.
  • The free listing is free. We may change or end it, with notice.

7. Your responsibilities

Accuracy. Keep your business details, services, prices, hours, providers and policies accurate. Your website, your booking page and the AI receptionist say what you keep in Greetfolk, so a mistake there reaches your clients. We don't check your content.

Licences and professional rules. Hold every licence, permit and registration your work needs and follow the rules of your profession. For health businesses that includes the Professional Regulation Commission's codes for physicians and other professionals and the Philippine Dental Association's code for dentists, which restrict self-promotion. Dentists may not label anything a "promo" in Greetfolk. Salons, barbershops, nail salons and spas may show promotions, labelled as such, with an end date and without made-up "was" prices. You are responsible for what you publish, including that your providers consent to their names, credentials, licence numbers and photos appearing on your website.

Directory rules. The directory is coming soon. When it launches and you choose to be listed:

  • listing is opt-in, and you can leave at any time;
  • it shows facts, not rankings, and we never sell a better position;
  • sponsored listings are labelled;
  • reviews come only from clients after a completed booking; you can reply to a review, but not delete it; and
  • you don't write, buy, trade favours for or fake reviews, and you ask for them only after a completed booking.

Emergencies. Greetfolk is not for emergencies. Tell your clients to call emergency services, and handle urgent cases outside the service.

8. The AI receptionist

The AI receptionist is software that writes replies to your clients. You should know its limits:

  • It tells clients it is an AI assistant, and answers only from the details you keep in Greetfolk.
  • It can find open times, book, and look up, move or cancel a client's own booking after the client gives the booking reference and mobile number. It books only times you have opened.
  • It never gives a diagnosis, treatment or medication advice, and never asks for medical history. When a client describes urgent symptoms, it gives your phone number and earliest open time and hands the chat to your staff as urgent.
  • It hands a chat to your staff when the client asks, when it is unsure and after repeated failures. Your staff can take over any chat at any time.
  • It can still make mistakes. It may misunderstand a question or answer in a way you wouldn't. You must review its conversations regularly, correct anything wrong in your details, and take over when a client needs a person. You are responsible to your clients for what it tells them on your behalf, and we are responsible to you only as section 20 says.
  • You may not use it to give medical or other professional advice, or to handle emergencies.

The AI receptionist uses an allowance under section 6 and a third-party AI model, described in the data processing agreement.

9. Messenger, text messages and other third-party services

  • Messenger. You can connect your own Facebook Page so the AI receptionist and your staff answer there. Meta's terms and policies for Pages and the Messenger Platform apply to you and to us, and you must follow them. Messenger for your Page becomes available when Meta's review of our app covers it; until then it is an early-access feature. You can disconnect your Page at any time (our data deletion page explains how).
  • Text messages. Reminders by text are coming soon. When they launch, they go through a Philippine provider, your clients must have agreed to receive them, and we tell you about any cost before you turn them on.
  • Other services. Google Maps, any payment provider we add later, and other third-party services you use through Greetfolk have their own terms. We are not responsible for them.

10. Bookings are between you and your client

A booking is a contract between you and your client. We are not a party to it. Your own policies on cancellations, late arrivals, deposits and no-shows apply, and you are responsible for the services you give, their quality and their price. We provide the tools to take the booking, nothing more.

11. Data protection

  • You are the personal information controller for your clients' personal information under the Data Privacy Act of 2012 (Republic Act No. 10173). We are your personal information processor. Our data processing agreement governs that and forms part of these terms.
  • Your website shows a privacy notice at /privacy, written by us in your name. You are responsible for it: read it, make sure it fits your business, and tell us if the law or your profession needs more.
  • Have the consent or other lawful basis the law requires for everything you ask us to process, especially health information, and answer your clients' requests about their information.
  • For your team's accounts and your use of the dashboard, we are the controller and our privacy policy applies.

12. Acceptable use

Don't use Greetfolk:

  • for anything unlawful, misleading or harmful, or to discriminate;
  • to send spam or messages people didn't agree to;
  • to publish content you have no right to publish, or that infringes someone's rights;
  • to collect personal information you don't need, or to collect it from children without a parent's or guardian's consent;
  • to probe, overload, scrape or break the security of the service, or to access another business's data;
  • to copy, reverse engineer or build a competing product from the service; or
  • to resell or sublicense it without our written agreement.

13. Your content, and the licence you give us

You own your content. You give us a worldwide, royalty-free licence to host, store, copy, adapt, display and distribute it for as long as you use the service, so that we can run your website, your booking page, the AI receptionist and the directory if you join it, and to keep backups for the period in our privacy policy. The AI receptionist answers from your content under this licence.

Only upload content you have the right to use, including photos, with the consent of anyone who can be recognised in them. We may remove content that breaks these terms or the law, and tell you why.

14. Our property, and your feedback

The Greetfolk software, its design, templates, sample photos, documentation and brand belong to us or our licensors. You get a limited, non-exclusive, non-transferable right to use the service while these terms last. Nothing transfers our intellectual property to you, and you may not remove our notices or use our brand without permission. Websites we host show a "Website by Greetfolk" line and their chat a "Powered by Greetfolk" line; on a paid plan you may turn both off, and on the free listing they always show.

If you give us feedback or suggestions, we may use them without any obligation to you.

15. Confidentiality

Each of us keeps the other's non-public information confidential, uses it only for this agreement and shares it only with people who need it and are bound to confidentiality. That doesn't cover information that is public through no fault of the receiving party, that it already had, or that it must disclose by law, in which case it tells the other first where the law allows. This section survives the end of the agreement for 3 years, and for personal information for as long as the data processing agreement says.

16. Availability and support

We keep improving the service and aim to keep it running, but we don't promise that it will always be available or free of errors, especially during early access, maintenance and events beyond our control. We try to schedule maintenance outside Philippine business hours and to warn you before planned downtime.

Support is by email at hello@greetfolk.com. We aim to answer within 2 working days. Support covers using the service, not your clients' bookings or your professional work.

17. Suspension and ending the agreement

Suspension. We may suspend all or part of the service if you break these terms, don't pay after the period in section 6, put clients, other businesses or the service at risk, or if a law or authority requires it. We tell you why, and restore the service once the problem is fixed, unless we end the agreement.

Ending by you. You can close your account at any time by emailing us from the owner's email address, or by cancelling under section 6.

Ending by us. We may end this agreement with 30 days' notice for any reason, or at once if you seriously break it, don't fix a breach within 14 days of our notice, or stop existing as a business.

After the end. Your website, booking page and chat stop working, and section 18 applies to your data. Sections 13 (for the backup period), 14, 15, 18, 19, 20, 21, 25 and 26 survive.

18. Your data when you leave

For 30 days after your account closes you can ask us for a copy of your data in a usable electronic format. We then delete it within 30 days, and backups roll off within 30 days after that, unless a law requires us to keep some of it, in which case we tell you what and why. It is your responsibility to export your data in that time and to keep any records your profession or the law requires you to keep.

19. What we don't promise

As far as the law allows, we provide the service "as is" and "as available", without warranties of any kind, express or implied, including of merchantability, fitness for a particular purpose and non-infringement. In particular, we don't promise:

  • that the service will bring you bookings, clients or any business result;
  • any position in search engines or the directory;
  • that the AI receptionist's replies are always correct, complete or appropriate; or
  • any medical, dental, legal, tax or other professional advice. The service is a tool for your business; the professional judgement is yours.

Nothing in this section limits what the Consumer Act or other law gives you that can't be excluded.

20. Limits on our liability

  • Cap. Our total liability to you for all claims under or connected with this agreement, in contract, tort or otherwise, is limited to the fees you paid us in the 3 months before the event that gave rise to the claim.
  • No indirect losses. We are not liable for indirect, incidental, special or consequential losses, or for lost revenue, profit, business, goodwill or data, even if we were told they were possible.
  • What this doesn't limit. Nothing in these terms excludes or limits liability for fraud, gross negligence or wilful misconduct, for death or personal injury caused by negligence, for a breach of the data processing agreement that the Data Privacy Act doesn't allow us to limit, or for anything else that Philippine law doesn't allow us to exclude.
  • Your clients. We have no liability to your clients. You handle their claims about your services.

21. Your indemnity

You will defend us and pay our losses, costs and reasonable lawyers' fees from any third-party claim arising from your content, your services to your clients, your breach of these terms or of a law or professional rule, or your team's use of the service, except to the extent we caused the claim. We tell you promptly about a claim, let you run the defence as long as you don't admit fault on our behalf, and help at your cost.

22. Events beyond our control

Neither of us is liable for a delay or failure caused by something beyond our reasonable control, such as a natural disaster, epidemic, power or internet outage, a government act, or a failure of a provider we can't replace at once. Paying for the service isn't excused by this section. The party affected tells the other and does what it reasonably can to recover.

23. Changes to these terms

We may change these terms, the data processing agreement and the privacy policy. We email the owner of your account at least 30 days before a change that affects you. If you don't accept it, you may end the agreement before the change takes effect; using the service after that date means you accept it. We may make a change sooner when a law requires it, and we tell you why.

24. Notices

We send notices to the owner's email address on your account, and you send notices to us at hello@greetfolk.com. A notice by email counts as received on the next working day in the Philippines. Keep your owner email current.

25. Law and courts

These terms follow the laws of the Philippines. If we disagree, we each try first to resolve it by talking, within 30 days of one of us raising it in writing. After that, disputes go to the proper courts of Davao City, and each of us accepts their jurisdiction. Nothing stops either of us asking a court for an urgent order to protect its rights or its data.

26. Other terms

  • Entire agreement. These terms, with the data processing agreement, the privacy policy and any founding-business offer agreed in writing, are the whole agreement between us about the service and replace any earlier discussions.
  • Severability. If a court finds part of these terms unenforceable, the rest stays in force and the part is read as narrowly as needed to be enforceable.
  • Assignment. You may not transfer this agreement without our written consent. We may transfer it to a successor of our business, and tell you when we do.
  • No waiver. If either of us doesn't enforce a term at some point, that doesn't mean we give it up.
  • Relationship. We are independent contractors. Nothing here creates a partnership, agency or employment.
  • Language. These terms are in English. If we provide a translation, the English version prevails.
